Overview & Responsibilities
We at ViacomCBS are looking for an Executive Assistant, Futurist Technology! This person is responsible for providing administrative support to the SVP, Futurist Technology, and additional aid to the Futurist Department, including the Manager, Emerging Technology.
Responsibilities
• Handles executive's and manager's calendar and schedules/coordinates meetings and appointments for the department, ensuring smooth operation of the office and all related projects and tasks.
• Screens and responds to incoming calls and correspondence (when in office).
• Organizes meetings or conferences by arranging conference rooms, issuing gate passes for visitors, sending meeting requests or invitations, coordinating handouts, and preparing materials for meetings and projects.
• Act as the face of the department; Liaise with outside businesses and potential clients, helps coordinate and run office space (when on-site).
• Directs preparation of records, such as agenda, notices, minutes, and resolutions for corporate meetings.
• Composes and prepares confidential correspondence, reports, and other documents, such as expense reports.
• Administrative duties such as filing, typing, and copying documents.
• Arranges detailed travel plans and itineraries while compiling documents and expenses for travel-related meetings.
• Assists with various tasks for SVP, including placing orders, stuffing boxes for shipments, periodically running errands, etc.
Basic Qualifications
• Minimum 1 year of administrative/executive assistant related experience.
• Proficiency with Word, Excel, Power Point, and internet software.
• Good relationship-building skills.
• Ability to act and deliver under tight deadlines with a calm manner.
Additional Qualifications
• Bachelor's Degree preferred.
• Excellent written, verbal, and interpersonal skills, with the capacity to work with staff, other administrators, internal and external business partners and clients, and senior management.
• Organized and meticulous, with the skill to handle multiple high priorities, and have the capability to appropriately classify work and proactively anticipate and manage time.
• Anticipate needs of the SVP, the department, and the company at large and act accordingly to ensure requirements are met ahead of time.
• Familiarity with a variety of industry concepts, practices, and procedures.
• Strong communication skills.
• Experience in Entertainment Industry a plus.
• Self-motivated, self-starter, modesty, and ability to act with purpose.
