Responsibilities
Duties include, but are not limited to the following:
• Provide proactive administrative support: schedule meetings, arrange travel, manage correspondence, order supplies, answer phones and other projects and duties as needed.
• Coordinate domestic and international travel arrangements, drafting itineraries as requested.
• Prepare corporate expense reports in a timely, accurate and efficient manner.
• Submit purchase order requests, process invoices and manage budgets as requested.
• Assist in the coordination and preparation of meetings, sitting in as needed to take notes, run A/V, or perform other necessary duties.
• Draft responses and documents as directed.
• Conduct ad hoc research and manage projects ranging from promotion, marketing, A&R, etc.
• Build and maintain relationships across the company as well as external partners.
• Practice discretion with sensitive internal information.
• Anticipate and assess the needs of the executive to ensure their success.
• Handle additional duties as needed for the executive, allowing them to better complete their work. This sometimes involves light personal coordination since work and personal life are fairly integrated at this level.
Qualifications
• Previous administrative experience preferred (managing an executive calendar, knowledge of travel logistics, etc.)
• Strong proficiency in MS Office (Outlook, Word, Excel).
• Experience with additional programs/software like Mediabase, Music Connect, Adobe Photoshop, Concur, Smartsheet, various CRMs, etc. preferred but not required.
• Proactive with strong time management and organizational skills, and a high attention to detail.
• Ability to prioritize and juggle multiple projects and duties on a daily basis with a positive and professional demeanor.
• Excellent written and verbal communication skills.
• Flexibility with an ability to adapt to a fast-paced, ever-changing environment.
• Highly responsive and adept at following through on all duties and requests.
• Ability to work with various personalities.
• Ability to manage confidential information with sensitivity and discretion.
• Takes pride in your work and ownership over projects that you lead.
• Strong interest in the music business and growing at Big Machine Label Group.
