Job Summary

The Town Hall Team is a highly collaborative group with a mission to curate and activate elevated moments of connection for the **MEMBERS ONLY**SIGN UP NOW***. community and beyond. We are a team of dedicated producers, detailed event planners, logistics champions, and experienced technicians. Together, we manage **MEMBERS ONLY**SIGN UP NOW***.'s Town Hall and the Ralph J. Roberts Forum, the 'heart and soul of campus.' Town Hall includes conference room space, collaborative lounge spaces, an employee TechBar, Coffee Bar, and **MEMBERS ONLY**SIGN UP NOW***. NBCUniversal's marquee event space, the Ralph J. Roberts Forum. Named after **MEMBERS ONLY**SIGN UP NOW***.'s founder, the Ralph J. Roberts Forum is a two floor, 500-seat amphitheater located in the heart of the **MEMBERS ONLY**SIGN UP NOW***. Technology Center. With 56,000 square-feet of production space, full broadcast capabilities, and its Dolby Vision Atmos cinema system, there is no other place like the Forum. Job Description

Roles and Responsibilities:

The Production Coordinator / Stage Manager plays a vital role as the glue keeping Town Hall aligned across all production verticals. The Production Coordinator / Stage Manager is there for every step of the event process! Starting with the inception of an event, overseeing the planning process, supporting programs in the RJR Forum as the primary Stage Manager, then following the post event process. The success of our events, which are primarily live, in-person events, often with hybrid/remote audience, will be greatly credited to the time and effort put in by this individual. The Production Coordinator / Stage Manager will work directly with the Production Manager and report to the Director of Production while coordinating across production and department verticals; creative, client engagement, administrative, and technical, to ensure all team members are communicating effectively. This allows for us to ensure all our programs and production are met with the highest of standards.

Programs produced include, but not limited to:


Live Broadcasts
Corporate All Hands/Internal Meetings
Strategic Conferences
Marquee Speakers & Employee Talks
Film Screenings, Performances, Experiential Activations.


Coordination


Participate in client meetings and calls by taking notes leading up to events, then distributing the notes across departments in a timely manner
Ensure venue is appropriately stocked with regular consumables and requested items per event.
Assist in developing schedules, call sheets, run of shows.
Coordinate vendor staffing as needed.
Follow and report on preproduction, production, and postproduction schedules to ensure timelines are met
When needed and directed host production meetings, cue to cue, and technical rehearsals
Track and report on the status of all assets for the life of the event and ensure proper language is implemented to align with department preference
Ensure communication of all missing assets, questions, and concerns are communicated appropriately and in a timing manner to all departments
Manage and draft daily/weekly event updates
Propose creative input to help shape events and departmental workflow
Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.

Stage Managing


Manage and contribute to the speaker experience by interfacing with presenters, speakers, and clients to ensure they have the comfort and tools needed to execute their event
Work directly with the production Show Caller to ensure house is in in sync with the technical production
When in show manage and communicate readiness of back of house and floor to all supporting production team
Ensure the Green Room and Makeup Room are comfortable, clean, and stocked with all amenity offerings to meet the expectations of each event
Ability to fill in other production roles as needed such as Show Caller, Lighting Director, Audio, & Video Playback.


Development


Contribute to expending vendor relationships
Develop new protocol and elevate current workflow standards
Participate in expanding pre and post show asset management
Actively engage in cultivating relationships with internal and external partners


Qualifications


Excellent time management skills
Possess excellent problem-solving skills and superior communication skills
Contribute to a positive work environment by inspiring enthusiasm for a shared mission
Working knowledge of audio, video, lighting, staging, and set design
Ability to work under pressure and make quick, educated decisions
Creative problem solving and the ability to multitask
Polished written and communication skills with attention to detail
Administrative skills; Microsoft suite, Key Note...
5 years of live broadcast/event industry experience preferred
Flexibility to occasionally work outside of typical nine to five hours
4-year degree preferred.
